ISO 20121 event sustainability management cases in 2016

To increase sustainability awareness for Taiwan MICE industry and promote green MICE under the sponsorship of MEET TAIWAN program by the Bureau of Foreign Trade, Ministry of Economic Affairs, we have assisted four MICE events and organizations to adopt the ISO 20121 this year (2016), including eCommerce Expo Asia 2016, 2016 Taiwan International Water Show, Kaohsiung Exhibition Center and KY-POST Design International Co., LTD.. With six months of continuous efforts, they finally passed the audit in November and obtained ISO 20121 certificates. Moreover, Kaohsiung Exhibition Center and 2016 Taiwan International Water Show underwent on-site audit procedures simultaneously as exhibition venue and exhibition, which was the first time ever in Taiwan.

Experiences related to ISO 20121 event sustainability management for 2016 are as follows:

Case 1: eCommerce Expo Asia 2016 (single event certification)

Scope: eCommerce Expo Asia 2016 show floor; Pre-show Press Conference; eCommerce Seminar; eCommerce Business Day 2016

Event sustainability issues:

Economic activity:

This exhibition was themed "Big data, Cross Border, FinTech & Startups", attended by 66 exhibitors with 145 booths, and drew nearly 9,000 professional buyers and consumers from home and abroad to visit the show. The "eCommerce Seminar" conducted the first ever Facebook live, allowing those who could not make it to the show to grasp opportunities. eCommerce Business Day 2016 were also held during the show, to which 28 buyers from five countries were invited to engage in nearly 60 meeting sessions. All told, nearly USD 23 million in business opportunities were generated.

Environmental protection:

100% reusable module materials were adopted for building stages and public facilities; other measures include resource wastage reduction, encouraging accommodation at environmentally friendly hotels, promoting car-pool or public transportation, using environmentally friendly soy ink for print materials during the show to reduce pollution.

Social responsibilities:

All booths passed structural safety inspections conducted by the venue provider to ensure the safety of visitors. Foods and snacks offered at the exhibition were purchased from Children Are Us bakeries in support of public welfare, while internship opportunities were offered to students from related departments to develop MICE talents. Guided tour on ISO 20121 event sustainability management were also available on-site to leave a legacy of sustainability experiences.

Case 2: 2016 Taiwan International Water Show (single event certification)

Scope: Six major exhibition areas; Pre-show Press Conference; Procurement Meetings; New Product Launches; Seminars; Opening Ceremony

Event sustainability issues:

Economic activity:

131 exhibitors taking up 203 booths took part in the show, while the number of international buyers increased by 6%. 15 new product launches and professional seminars were held during the show, whereas dedicated exhibit areas were set up for the "Aqua Start-up Academy," to display innovation results by the scientific research units of colleges and universities. For One-on-One Procurement Meetings, buyers from 29 countries were talked over with exhibitors in 59 meeting sessions, out of which nearly USD 6.5 million in business opportunities were generated on-site and subsequently.

Environmental protection:

To deliver the concept of environmental and water resource protection, application for environmental education credit hours was available during the show in addition to events such as "Dr. Water," "Rounding Up the Aqua Fans" and "Aqua Lotto Lucky Draw" that encouraged visitors’ participation. No wooden decorations were used for stages or public facilities; more than half of the booths were standard booths using modular materials to reduce wastage. Visitors were encouraged to car-pool or take event shuttle buses to reduce carbon emissions.

Social responsibilities:

The show partnered with the "Apple Green Bakery" set up by the Chi Hui Young-Care Settlement Institution to provide workplace internship opportunities for underprivileged young adolescents.

Case 3: Kaohsiung Exhibition Center Corp. (organizational certification)

Case 4: KY-POST Design International Co., LTD. (organizational certification)

Scope: MICE design and implementation provided by the company; commercial space design & planning, as well as MICE events software & hardware planning and implementation management service.
